    Responsibilities

    • Ensure that the health center staff provides a customer friendly, supportive and welcoming environment for patients
    • Direct, supervise and evaluate support staff of the HCC
    • Coordinate and liaison with support staff, medical staff and subcontracted staff to ensure smooth collaboration and joint management of the health care center
    • Utilize and engage in quality improvement initiatives to assist teams in improving patient outcomes and achieving health goals over time
    • Assure smooth operations and communication between intake, billing, referrals, care coordination, patient benefit specialists, and back health center operations
    • Work with agency internal departments to assure full integration of all services and programs across the entire agency
    • Direct or conduct recruitment, hiring and training of personnel
    • Establish work schedules and assignments for staff, according to workload, space and equipment availability
    • Organize and carry out planning and implementation processes that support achievement of health center goals and grant deliverables while improving efficiencies
    • Conduct and administer fiscal operations, including planning budgets, authorizing expenditures, monitoring and tracking grant related expenses
    • Review and analyze facility activities and data to inform planning of cash and risk management in order to improve service utilization
    • Develop policies and procedures in conjunction with staff and providers that are based on federal, state and county guidelines as well as program and grant funding requirements such as Ryan White, Medicaid, Medicare, CDC, etc.
    • Ensure that health center practice is in compliance with all pertinent laws, regulations, and Public Health Standard Guidelines
    • Monitor and ensure compliance with grant deliverables, billing practices, standards of care, and proper documentation and charting requirements.
    • Investigate system, work flow, and operational problems and make and implement recommendations for improved efficiencies
    • Maintain awareness of advances in medicine, computerized diagnostic and treatment equipment, data processing technology, government regulations, health insurance changes, and financing options
    • Monitor the use and regular maintenance of diagnostic equipment, facilities, and staff to ensure effective use of resources and assess the need for additional staff, equipment, and services
    • Supervise quality of electronic medical record system’s ability to store and process data for information storage and reporting
    • Assist as needed in the gathering and provision of credentialing information that may be needed for health center staff
    • Continually monitor and evaluate the health center’s ability to achieve its intended outcomes as a basis for modifying and improving systems and processes
    • Ensure proper management, inventory tracking and security of office and medical supplies, equipment, and medications
    • Seek out and incorporate (when appropriate) the views of the providers, management professionals, staff, clients and other external stakeholders into decisions that affect the quality of care, the workplace environment and the business stability of the health center
    • Provide health center presentations internally and externally to provide information about the health center program and services
    • Develop external relationships to benefit clients, the health center and the community
    • Understand and apply the management information, concepts, and principles necessary to address a broad range of medical practice tasks and situations in the management domains of:
      • Human resource management;
      • Governance and organizational dynamics;
      • Planning and marketing;
      • Information management;
      • Financial management;
      • Risk management;
      • Business and health center operation; and
      • Professional responsibility.

     

    SUPERVISORY RESPONSIBILITIES

     

    • Provide leadership, support and supervision to health center support staff
    • Foster teamwork and effective communication between medical and support staff
    • Provide monthly supervision to staff and document effectively.
    • Conduct employee performance evaluations/reviews for all new staff under their direct supervision
    • Address disciplinary actions and consult with Medical Director and Human Resouces on intended actions
    • Track and monitor all absences (vacation, sick, etc.) and scheduling
    • Identify training opportunities for health center staff

    EDUCATION & WORK EXPERIENCE

    • The minimum education required for work as a practice manager is college degree and proven leadership ability and experience working in a health center practice setting.
      • Bachelors degree in health administration, practice management, or business administration preferred or several years of direct experience in a clinic practice, outpatient clinic, etc.
    • Experience in medical office management or program management is preferred, as well as some basic knowledge and familiarity of grants programs, processes, etc.
    • Basic knowledge of HIV/AIDS and other chronic health conditions
    • Proficiency in using electronic medical records
    • Prior management experience in a health care setting preferred
    • Working knowledge of electronic medical records systems and MS Office suite (specifically MS Word & MS Excel)
