Today, AID Atlanta offers a broad range of services and has grown to be the most comprehensive AIDS service organization in the Southeast.  AID Atlanta currently offers HIV/AIDS prevention and care services, including (but not limited to) Primary Care, HIV/STD Screening, PrEP, Community HIV Prevention Programs, Linkage Services, Case Management, and a state-wide Information Hotline.

The mission of AID Atlanta is to reduce new HIV infections and improve the quality of life of its clients by breaking barriers and building community.

Responsibilities

DUTIES AND RESPONSIBILITIES:

VOLUNTEER PROCESS                                                                                                                                                                   

 

Planning                                                                                                                                                                              15%

  • Develop annual/quarterly plans in coordination with AID Atlanta Department teams and forecast demand for volunteer services.
  • Develop annual/quarterly outreach and communications plans to identify prospects and recruitment goals.
  • Benchmark and develop best practices to become a model institution throughout Greater Atlanta
  • Work with AID Atlanta leadership and staff to launch new engagement initiatives each year.

 

Outreach: Recruitment, Placement, Orientation, and Evaluation.                                                             25%

  • Develop strong relationships within the community which foster a positive agency image, making AID Atlanta the volunteer organization of choice among groups and individual volunteers.
  • Work with corporate partners, faith community, as well as civic organizations, to provide team building volunteer opportunities for their team members.
  • Implement training for volunteers to conduct activities at special events.
  • Develop training/outreach materials to effectively conduct orientations, tours and training sessions.
  • Represent the organization in public meetings, community events, and community presentations.
  • Work with agency leadership to recruit and utilize ambassadors for health/information fairs, personal experience/client perspective, and staff and volunteer leadership to represent AID Atlanta at speaking engagements and third-party events.
  • Develop and implement processes that effectively and efficiently recruit and retain group volunteer members from corporate, community, non-profit, and educational resource for advisory committees, feedback sessions, one-time events, and ongoing relationships.
  • Direct the execution of an effective on-line presence for group volunteer activities.
  • Work with Development to create volunteer-to-donor and donor-to-volunteer initiatives. Aim to increase individual donations from volunteers in appropriate ways.
  • Work with corporate partners and other community organizations to provide AIDS 101 Awareness Seminar at their location for fee that underwrite program expenses.

 

Fulfill Demand for Labor                                                                                                                               15%                       

Significantly increase the number of volunteers, the number of hours and donations.

Ensure agency special events, agency-wide fundraising activities and other internal advancement requirements for volunteers are met and managed in a timely manner.

Establish a process to regularly meet internal organizational needs by developing a volunteer leader program to support operations requirements.

Develop a “skill based” professional group of volunteers to meet the unique needs of a growing organization.

 

Reporting                                                                                                                                                            15%                       

  • Report on fulfillment and recruitment goals quarterly and annually.
  • Develop and execute metrics and reporting program, to include reporting on recruitment goals, demand fulfillment, volunteer-donor status, volunteer hours of key partners, value of hours, etc.
  • Efficiently manage the documentation process, calendaring and data collection
  • Establish, maintain and leverage appropriate technology tools to manage the Volunteer Services function. (i.e. CRM or other appropriate data management software.)

 

VOLUNTEER EXPERIENCE                                                                                                                              15%                       

  • Manage the coordination of appropriate and meaningful volunteer experiences within AID Atlanta facilities and at off-site events.
  • Ensure experience s are easy to access, meaningful for volunteers and productive for the agency.
  • Develop a volunteer recognition program, to thank/publicly acknowledge key individuals and organizations.
  • Plan volunteer recognition events and activities following set schedule and within budget.

 

LEADERSHIP                                                                                                                                                       15%                       

  • Clearly communicate the “Mission” ensuring everyone works toward the same goals.
  • Ensure that responsibilities and authorities of employees are defined and understood. Establish goals, monitor progress and provide coaching to enable them to meet their goals.
  • Create a positive environment where two-way communication and strong trust are established.
  • Ensure volunteers are fully trained on the skills necessary for them to succeed.
  • Ensure workload is distributed equitably by monitoring volunteer time and task assignments.
  • Provide volunteers with professional and personal growth opportunities as appropriate.
  • Focus on teamwork and customer service so volunteers understand the importance of assisting others.

 

BEHAVIORAL EXPECTATIONS

  • Customer Service - demonstrate the ability to respond with a high degree of urgency to the needs & requests of others, internally and externally. Understand the impact of their work on others.
  • Understand safety policies and actively promote safe practices in the workplace.
  • Maintain constructive relationships and demonstrate respect for everyone contacted.
  • Deal constructively with conflict and focus on the situation, issue or behavior and not on the person by diffusing situations before conflicts arise, resolving conflicts directly and actively promoting and gaining cooperation from others.
  • Accurately provide and receive information in oral and written communications. Consistently provide ideas, opinions, or information in an articulate, professional way. Actively listen to others and demonstrate understanding of other points of view.
  • Willingness and ability to adjust to changing conditions or priorities.

 

QUALIFICTIONS

  • A Bachelor’s degree in fields including marketing, adult education, management, event production, finance/accounting, public relations, communications, etc. is highly preferred, and 3 years-experience working with successful volunteer program in a large, community-based non-profit organization.
  • Ties to Greater Atlanta, and Georgia, participation in staff development, or Certificates from non-profit university, preferred. Active participation in professional organizations like the Council of Volunteer Administrators, Georgia Center for Non-Profits, and/or Corporate Volunteer Council, etc. will prove very helpful.
  • Must be able to communicate effectively, professionally, and succinctly in written and verbal forms, and marketing through advertisements, e-mail, print, social media, and telecom is required.
  • Must possess critical thinking and problem-solving skills to be creative, solve challenges by existing resources, technology, person-power, and different media.
  • Proficiency in MS Office is required. General knowledge and experience with Blackbaud Raiser’s Edge and web design are helpful.
