Responsibilities

JOB SUMMARY

 

The Front Desk Registrar provides scheduling and registration for case management appointments and other support services. This position ensures that members know beforehand the required eligibility documentation to bring, what to expect at their appointments, and connects them to the medical case manager or other appropriate staff when needed. As the first employee to have contact with those calling or entering the office, the Front Desk Registrar is responsible for making a good first impression of the organization while providing preliminary information/resources.

 

ESSENTIAL DUTIES & RESPONSIBILITIES

 

o   Provides scheduling and registration for case management appointments and other support services

o   Provides detailed information to members regarding required eligibility documentation and what to expect at their appointments

o   Meets and greets members and visitors, interfacing with them and the general public in a professional, courteous, and sensitive manner while always displaying excellent customer service.

o   Operate telephone switchboard to answer, screen, and direct member inquiries to appropriate services.

o   Provide accurate and complete information and education about available services and programs. 

o   Registers members via phone and/or in person and checks them in when they arrive for their appointments.

o   Informs employees of members/visitors’ arrivals and/or cancellations for scheduled or walk-in appointments.

o   Maintains appointment templates on appropriate Electronic Medical Record (EMR) system while resolving any scheduling conflicts that arise.

o   Enters member data into appropriate Electronic Medical Record (EMR) and ensures information is up to date.

o   Ensures that all data entry is performed daily and accurately.

o   Take complete messages and ensure delivery to intended recipient in a timely manner.

o   Contact staff members using office communication systems (Microsoft Teams, emails) or the overhead intercom system.

o   Monitor registration area for safety concerns.

o   Hear and resolve concerns/complaints from members in a helpful and professional manner and direct them to the appropriate manager for further resolution when warranted.

o   Complete monthly reporting to ensure accurate programmatic reporting (based on position/site assigned)

o   Participate in various mandatory trainings held internally and externally ensuring a continuous knowledge base of programs that benefit members

o   Adhere to policies and procedures for AID Atlanta and other off-site programs to ensure quality standards are met.

o   Assist with Intake/Eligibility Specialist duties as needed

o   Assists with other duties as required by manager.  

 

Qualifications:
Education and/or Experience
·         High school diploma or its equivalent

·         2 plus year of relevant work experience

·         Ability to learn quickly

·         Must pass criminal background check

Education and/or Experience

High school diploma or general education degree (GED); or one to three months’ related experience and/or training; or equivalent combination of education and experience.

 

Computer/Software Skills & Abilities

To perform this job successfully an individual should have knowledge of Word Processing software.
